To create your Custom Field, access βš™οΈ Settings, go to the referred section, and click on Add a Custom Field button. 

You can select from five different types:

  • Text: A simple text field;
  • Checkbox: Yes or no? Checked or unchecked?
  • Number: A number field;
  • People: Select member(s);
  • Date: A date field;
  • List: A list of choices;

The created custom fields will be available in all workspace tasks just after the common parameters - priority, dependencies, tags..

You can also change one existing custom field type. But notice that by doing that, its data will be lost from the tasks.

You can now define when a particular task should start with the Start On.

Set the start moment, and Planless calculates all the impacts and optimizes the planning.

You can set it from two different places:

Details Panel
On the task details panel, click on "None" and select the desired date in the selector.

Tasks Page - Timeline View
Click on the Start On field and select the desired data in the selector.

Make sure to have the Start On parameter selected to display as a column.

You can extend your planning capabilities by synchronizing Planless with ClickUp projects. It's simple, you manage your projects on Planless, taking the best from our prediction engine meanwhile your team keeps working on ClickUp. 

Your team keeps working as usual while you gain planning assistance, complete visibility, and have it constantly updated.

How does it work?
Your projects will be imported and synced to Planless, where you can get complete visibility and make necessary adjustments.

Once you are satisfied with the planning adjustment, publish it, and your team will receive these updates on ClickUp.

How to start?
Go to βš™οΈ Settings, then to the Integration section. Find ClickUp and click on CONNECT.

After connecting, manage the integration settings and select the desired projects to sync with Planless.

We’re changing our pricing system; it will be based on the number of resources available in your workspace.

A resource is someone you need to plan work for. You can have users or viewers that are not resources, and there’s no limit on these; they are part of your subscription.

Members can be from three different types:

  • User Only: Can manage and plan projects but can’t be assigned to tasks.
  • Resource Only: They can be assigned to tasks and have their work planned but can’t manage and plan projects.
  • User & Resource: They can be assigned to tasks, have their work planned, and manage and plan projects.

You can keep creating new members from βš™οΈ Members Settings by clicking on the β€œAdd New Member” button.

On the Create Member modal, you will be able to select which member type they are.

⚠️ Members Resource type should have at least one skill when being created.

You can manage the Member Type of existing members from the details panel. Notice that if the only User-type member can log in and have access to the workspace.

See how many resources you have left on the subscription section and when your plan renews, or your access expires.

Welcome to the new way of navigation through projects on Planless.

We heard that browsing through projects with several tasks was hard for some users, and we worked on that. You now have a new way to visualize your tasks, with much more information available on your screen and a faster and easier way to navigate from one project to another, seeing what matters to you at that specific moment.

Customize Columns
Define the column you want to see on the timeline view and make sure you get the necessary information. Assignee, Skill, Effort, Priority, Due Date, Wait Until, and Time Worked columns are available.


Managing Tasks' Parameters
Click on the parameters of the tasks in the timeline view to manage them. Besides Skill, Effort, and Priority which were already available, you can also manage Assignee, in case you want someone specific to work on it, Due Date, and Wait Until.


Projects Navigation Menu
With the new side menu, easily navigate from one project to another; open and close folders to better visualize what is inside each one. Click on "All projects and tasks" if you want to have an overview of your work.

You can still manage your project's parameters such as due date, dependencies, tags, and financials by clicking on the down arrow close to the project title.

If you always want to have it there, pin the side menu by clicking on the double arrows in the right-top corner. Click again to unpin it.

  • Calendar events don't synchronize: Some accounts lost were constantly losing calendar integrations. This is now fixed, and some procedures are in place to avoid it;
  • Comments not loading: We had a recent issue that wasn't allowing comments to load. Not this is fixed, and you and your team can collaborate with no problems;
  • Google calendar events duplicated: Now, when checking your teammates' calendars, you won't see your own Google calendar events repeated in their schedule;
  • Task's number of workers: We fixed the issue of repeating the number of workers from the previous task opened in the new task;
  • Team members' names: When deleting all team members' name characters, the empty name will be displayed as Untitled. This looks to avoid issues related to workers with empty as the defined names.

  • Tags color: We updated one tag color on the tags settings page, as it was not reflecting the same color as in the details panel;

Today we launched the Extra Hours feature, a way to make your plan much more accurate and always be on top of your project's estimations. πŸ•’

On Team Member Settings, open the details panel of the desired member and go to the "Extra Hours" section. There, you will define when and the period of the extra hours. Use the toggle on top to see all or just the upcoming ones.

🎁 Bonus:
You can use this combined with the days off feature to define half of the day off. Add extra extras to the day off, and you will have the team member's work planned only for a specific period of that day.

Quickly know how many tasks deserve your attention with the just implemented Warning Panel. βš οΈ

Close to the notifications icon, you now have a new symbol showing how many tasks you should pay attention to and why. Move your mouse over it to see why - in the example below, there are six tasks to watch out for:

    Exists five types of warnings:

    • Due date at risk: Check this out, as the probable end date of the task is after the due date.
    • Due date in danger: The expected finish date of the task is after the due date.
    • Tasks with no skill defined: The task cannot be planned as no skill is defined.
    • Tasks with no effort defined: The task cannot be planned as no effort is defined.
    • Tasks with a required skill that no one has: The task cannot be planned as no one has the necessary skill to perform it.

    Click on the eye icon to close each warning message to see those tasks and act on it - notice that filters will be applied.

    Observation: No warning will be shown on the panel for tasks or folders with no worker defined in the permissions. However, you can use the filter to check them as they have a specific type of warning - "No workers defined".

    • Circular dependency: We excluded the possibility to create circular dependencies, which was preventing plans from being automatically created;
    • Multi-task editing: We implement some minor improvements on the multi-task editor panel. Now you can close the toaster messages without losing the selection, create a new skill, and apply it with no problem;
    • Search on the β€œTask done by”: The search when marking a task as done is working again;
    • Set someone to work on a task: Don’t worry, now you can likewise set a task as In Progress selecting someone different than yourself to work on it;
    • Scroll on select tag modal: Now you can see all tags on the Select Tags modal, as the scroll is working again;
    • Tasks with multiple workers’ status: We reviewed the process of setting a task with multiple workers as In Progress;
    • Team member’s group: Want to add a new team member directly to a group? Now you can do it with now issues as the bug is fixed;

    Besides that, we fixed some other bugs in particular situations when changing task status, assigning someone to a task, and displaying tasks’ effort.

        We implemented four types of notifications:

        • Task Activity Updates: Receive the latest updates from the tasks you follow, knowing who did the changes, what was updated, the old and new status of the parameters, when new comments, files, time worked, subtasks are added, and many more.
        • (Un)Assigned to a task: Receive a notification every time someone assigns or unassigns you to a task, whether you follow or not that task;
        • Tasks Mentions: Get notified when someone mentions you in a comment and start collaborating, whether you follow or not that task;
        • Task Deleted: Be aware when tasks you follow are deleted. We will notify you when the task was deleted and by who.

        πŸ–₯️ In-App Notification
        You can also access these notifications in-app, going to the notifications page.

        Every time you have a new update, the pin on the bell icon will show you how many unseen notifications you have.

        You can choose between seeing all notifications or just the ones you are mentioned, including comments, time worked, and task assignments. 

        Besides that, mark all task notifications as read or manage each update individually. Use the toggle on the top to see just the unread notifications or all.

        Don't forget you can easily manage your tasks followers directly from its details panel.

        Today we launch one important improvement on Planless - the task's effort left now updates immediately based on the time elapsed of a task in progress.

        Wanna know the impacts of it?

        • Now, tasks in progress are entirely represented on the Timeline and Calendar view. You can see the starting time, when the team member started to work on it, and see the expected finished date based on that.
        • The planning becomes more precise, as the following tasks planned are constantly being updated based on the work in progress.

        You can now see when your colleague started to work on that task and expected to finish on the tooltip.

        Or, check on their calendar what they are working on at the moment.

        This improvement will allow you to have a more accurate view of your project plans and your teamwork in progress.

        • Effort left: When stop working on a task, the effort left couldn't be smaller than one hour; this is now corrected. Besides that, when the effort left is 0, but the task is not done yet, Planless suggests 15min of effort left, so the task keeps being planned;
        • Specific project permissions: Some reviews and minor fixes were made on the project permissions logic;
        • Team members permissions: When creating a new team member, the workspace admin could not see their calendar or workload; this is now fixed.

        Today we re-launch some great shortcuts to speed up your task creation process.

        • Enter: When editing a task title, press Enter to add a new task under;
        • Shift + Enter: Hold Shift and press Enter to add a task under, meaning a subtask;
        • Control + Enter: Hold Control and press Enter to add a task before.

        And if you press any of this by mistake and want to delete the recently created task, simply click outside the text input area or press ESC.

        Change Location

        Now you can quickly change the tasks location. Right-click on a task or "More Options" and select Change Location.

        Use the drag and drop or the change location feature and organize your work in your own way.

        When creating your skill or setting your team members' background, you also can define their seniority level with the level bar.

        The Planless prediction engine considers it to better forecast your projects. As Juniors tend to take more time than Seniors to complete the same task, the prediction engine presumes they will require the max effort defined.

        Now you can have a more accurate planning forecast on the free plan, with you and your team always on track with your projects and deadlines.

        • Lack of availabilities: Once a member with no availabilities is assigned to a task by the user, a warning message will appear informing that it's not possible to plan it. Once the availabilities are added, the task can be planned.

        • Duplicating tasks: Users can now duplicate tasks without any issues;
        • Editing team member skill: When moving from one team member to another, their skill list in the Select a Skill popup is correctly updated;
        • Folders planned as tasks: The bug with folders being planned as tasks was fixed, and now only tasks are being planned inside the workers' calendars;
        • Inviting team members: The permissions were reviewed, and you can invite someone to join your workspace, and they will be able to work on tasks;
        • Table view: The bug with the displaying of avatars on the Who column was reviewed and fixed;
        • Task title: Some letters were not showing up entirely with the new behavior on the tasks page. This was reviewed and fixed;

        We made some UX improvements recently and fixed some bugs. Check what was done below.

        UX Improvements:

        • Time zone: When creating a workspace using demo data, the admin timezone is set automatically based on the user IP address;
        • Start after and due date: The order of both constraints was switched on the add a task modal, following the regular reading movement starting with the start after date on the left and then going to the due date on the right;
        • Creating skills: Now, if the workspace has only one team member, they are already suggested to have that skill when creating a new skill. Besides that, when creating a skill from a team member's details panel, the team member is already suggested as someone that has the just created skill.
        • Task planning: Even without defining a skill, if the task has an effort range and a team member is forced, it gets planned in the timeline;
        • Imported tasks effort: When importing tasks from other platforms that don't have effort available, the tasks come with a default effort. This allows the user to see it planned in the timeline, even if the effort needs further adjustments later.
        • Avatar menu: The workspace name and the avatar are now clickable and take the user to the workspace and my account settings page, respectively;
        • Filter applied: Now, the user can access the tasks page with the last used filter already applied there even after refreshing the page.

          Minors Bugs Fixed:

          • Dashboard: Minor UI issues with the recently added boxes were reviewed and fixed;
          • Start after and due date: If the user adds a date for one of these constraints, they can now delete it directly from the field in the modal;

            • Change workspace: To get more visibility, the change workspace button was moved to the avatar list menu;
            • Expand and collapse: The expand and collapse buttons on the tasks page are only available when exists at least one folder/group of tasks on the timeline;
            • Filters applied indicator: The number of filters applied on the tasks page is now indicated on top of the filter button. This way, the user can always be notified when filters are applied;
            • Password security: When creating your account, Planless now gives you feedback on your password security, and the user can see the password typed if they want;
            • Skill empty state: If no skill is created in the workspace, an empty state indicator now better guide the user to create their first skill;
            • Team members' settings: The list display and behaviors were reviewed and improved. Now they work pretty similarly to the Skills settings and tasks timeline view;
            • Team members' workload: The team member title is also clickable, so the user can open their workload details by clicking there.

            • Faster account creation: Now, when the user tries to log in with email and password but doesn't have an account, they receive an error message and are invited to create an account using those credentials;
            • Faster login: Now, when trying to create an account with an existing email, the user receives an error message and is invited to log in;
            • Adding team members: To help the Planless algorithm properly plan work, you're required to add at least one skill when adding a new team member. Besides that, the creation popup was redesigned to guide the user better;
            • Synchronizing the first calendar: Once the user synchronizes their first calendar, they receive a celebration message and an invitation to see their work planned among their regular day-to-day events on the calendar view;
            • Delay date: The delay date was renamed to start after for a better understanding of the constraints. Also, an info tooltip was added to explain the feature details.

            • Page crash: Two bugs related to page crashes were reviewed and quickly fixed;
            • Import data: We reviewed our integration with Jira, and now you can import all your projects into Planless;

            • Add a task popup: Being Skill and Effort of Planless, they are now required when creating new tasks. Besides that, the design was reviewed to give more focus to the most important constraints when adding new tasks;
            • Team members availabilities: When removing all availabilities from a user, a warning message appears indicating that the team member will never be able to have work planned;
            • Premium features blockages: Now, when trying to access premium features, the blockages show more details about that and suggest an article on Planless Academy for more information;
            • Task's details panel description: The description section as reviewed, and now the Print Description icon is more visible for smaller screens;
            • Import data: The section was reviewed to make more precise when selecting to where import data from;
            • Create tag: The process of creating tags was reviewed, and now it follows a similar approach to creating new skills and team members, with a dedicated popup for it;
            • New version available: every time a new version of Planless is available; you can access it directly by clicking on the modal on the top of the screen. But no worries, you can keep refreshing the page using your usual way; that works as well;
            • Missing steps: Every time you access the First Steps page, the first missing step will always be opened to show the exact details of the missing action.

                Hi there,

                Today we launch an entirely new way of adding tasks. Now, you can define multiple constraints directly on the add new task panel:

                • Title;
                • Location;
                • Skill;
                • Effort range;
                • Priority;
                • Due date;
                • Delay date;
                • Assignee, in case you don't want someone in specific;
                • Dependencies;

                Besides that, you can also create skills directly from the selector and even attribute the new skill to your team members. The same works for Team Members; add new teammates from the selector. But don't worry; you can still add and manage the skills and team members on the settings page.

                The process of adding skills for your team members from the details panel also improved. You can now add multiple skills simultaneously to a team member with the checkboxes, making the process smoother and faster.

                • Mobile responsive: Users accessing Planless from mobile phones can now create new workspaces. The form was improved and is now fully responsiviness.
                • Create a new workspace form: The required information to create a new workspace, name, and workspace title is specified. To speed up the process, the new workspaces have a default name if the user doesn't want to add a rename it, and when creating another workspace, the user name is already added.
                • Change workspace panel: We added the "Go back to my active workspace" button on the workspace selector panel, giving one more possibility to go back besides clicking on the active workspace.

                • Unread notifications section: Before clicking on the see task details icon, the width of the unread notifications section was changing. The issue is already solved and live.

                UI Improvements:

                • Free plan expiration date: Now, the free plan doesn't have any expiration year;
                • Changing password confirmation: The confirmation message was reviewed and aligned with our brand style and guidelines;
                • Team member's skill level assistance message: The assistance message was improved to make it more transparent that to exclude a skill, you have to set its level on 0;
                • Date selection popup: The popup was reviewed to match our brand style and guidelines;
                • Task view buttons: The motion when clicking in one of the view modes was reviewed to match our brand style and guidelines.

                UX Improvements

                • Tasks page empty state: The Add a Task button was added to the empty state in the timeline view on the tasks page to make it more visible;
                • First Steps page button: The button is hidden once you're on the First Steps page and appears when browsing other pages. Besides that, its location changed to be closer to the pages menu on the top left;
                • Change parent button: Now, the "Change" parent button of a task is only available when at least two tasks are on the workspace;

                Today we launch our platform's new design!

                Aligned to our new identity, Planless is now cleaner with a revamp and smoother experience in our platform. Changes were made to improve the user experience; the major ones were:

                • Settings: Now, you access the settings view the engine icon close to your avatar picture.
                • My Account: Your account details are now under the settings page.
                • Workspaces: You can move from one workspace to another and even create a new one for free, check our free plan. To do so, move your cursor over your avatar and click on the two arrows icon on its right side.
                • Task detail panel: You can still access the details panel by clicking on the up-right arrow icon from multiple ways. On the timeline view, it appears now one you hover your mouse over the task line.
                • Import tasks: The process is now available on the settings page, under the import data section.

                Today we launch a new feature to improve your experience - change the parent of a task directly in the task details panel.

                Open the task detail panel; you will see the task path together with a "Change" blue button on the top. Click on it, and select the new parent for the task or group.

                Note that tasks that are done or in progress are visible, but can't be selected. The same happens for a folder in which you don't have editing rights

                Ah, and you can keep using the drag and drop to change a task parent :)

                Our team worked on some minor bugs and UX improvements for a better experience at Planless. See what was done below:

                Bugs Fixed:

                  There was a caching issue in the workload view that wasn't updating correctly the view on changes.
